Office Administrator / Project Coordinator
Crown Tree Consultancy is looking for a confident and reliable Office Administrator / Project Coordinator to join our team in Sowerby Bridge, West Yorkshire. What we’re looking for
This is a varied office-based role that supports the operations of our five tree consultants. You will often be the first point of contact for our clients and accompany their project’s unique journey through to completion. Our professional reports are highly specialised and often form part of a planning application, insurance or safety decision. To succeed in this role, you must have impeccable phone manners, be meticulous with customer details and be confident coordinating responses. Computer literacy is also essential for scheduling surveys and managing projects using our dedicated computer software.
Day-to-day responsibilities

First point of contact for telephone and email enquiries. Understand customer requirements and match these to our services to produce accurate quotations. |
Coordinate consultant diaries to arrange site visits/surveys. Prepare data, plans and reports (pre & post survey) Maintain job records to ensure report completion (by consultants). |
As a small consultancy, there are ad hoc administrative office tasks (organised by the Office Manager) which this role is expected to participate in. |

Requirements of the role
- Answering telephone and email enquiries from new and existing clients.
- Discussing what clients need and helping identify the appropriate service.
- Preparing and issuing quotations.
- Scheduling and coordinating tree surveys.
- Monitoring outstanding work and coordinating ongoing projects.
- Keeping clients informed about appointments and project progress.
- Creating and maintaining project records and survey information.
- Helping prepare CAD plans and supporting documents.
- Working with Microsoft Word, Excel and our project management systems.
- General administration in the office.
Who we would like to hear from
Previous office, administration, customer-service or project-coordination experience is a useful asset for this role. Experience in arboriculture, planning, construction, architecture, surveying or another professional consultancy would also be welcomed, but is not essential. The following will help you succeed:
- Organisation. You’ll often have several bookings, appointments and enquiries moving at once.
- Excellent Communication. Professional, clear, and confident in dealing with clients by phone and email.
- IT Literacy. A thorough working knowledge of Microsoft Office programs is essential, alongside a willingness to learn the required CAD and specialist office software packages which are in regular use at the business (training will be provided).
- Being professional and confident when requesting details. The day-to-day role involves regular correspondence by phone and via email with clients, architects, and Local Authorities; manners, accuracy and attention to detail are essential.
- Being proactive and dependable. Management of your own workload is crucial. The role starts promptly at 9 am, Monday-Friday. The standard day ends at 5 pm, but there is some flexibility on finish time available if required.
- Self-Management Skills. Ability to plan and manage your workload efficiently.
- Fluent English. Essential for report writing and client communication.
